Through school-specific portals, a student, parent/guardian, or employer can complete and submit a digital referral. Schools review submissions (approve, request changes, or reject). Completers can update forms via secure magic links when changes are requested. Sirrond staff perform final approval. 2. How do we process your information?

In Short: We process your information to provide, improve, and administer our Services, communicate with you, for security and fraud prevention, and to comply with law. We may also process your information for other purposes with your consent.We process your personal information for a variety of reasons, depending on how you interact with our Services, including:To facilitate account creation and authentication and otherwise manage user accounts. We may process your information so you can create and log in to your account, as well as keep your account in working order. (Retention: for as long as the account remains active, and then for a short period after access ends — or longer if required by law — after which the account data is deleted or anonymised.)To deliver and facilitate delivery of services to the user. We may process your information to provide you with the requested service, including work experience referral forms, school review, Sirrond final approval, magic-link edits, and related PDFs. (Retention: referral and submission data are generally retained for 12 months, then deleted automatically, unless a longer period is required by law or needed to complete an active review.)To send administrative information to you. We may process your information to send you details about our services, changes to our terms and policies, invites, password resets, submission status notices, and other similar information. (Retention: as long as needed to send the notice and handle related account or submission activity — generally for the life of the account, or up to 12 months for submission-related notices, then deleted or anonymised.)To enable user-to-user communications. We may process your information to facilitate necessary communications between schools, Sirrond, students, parents/guardians, and employers in connection with a referral (for example confirmations, change requests, approvals, and rejections). (Retention: only as long as needed to send the relevant message and support the related submission or account process — typically aligned with the 12-month submission retention, or the life of the staff account for invite/access emails. Message content is not stored in full in our email logs.)To save or protect an individual’s vital interest. We may process your information when necessary to save or protect an individual’s vital interest, such as to prevent harm.Protect the service and users from unauthorised access, spam, and misuse. We use authentication data, security checks (including bot protection), and time-limited access links to keep portals, forms, and accounts secure. (Retention: session/auth data for as long as the account is active or as needed for security; magic edit links typically expire after 14 days; security logs kept only as long as needed for investigation and then deleted or anonymised.)Meet legal obligations and keep necessary operational records. We retain referral submissions and related review/decision records to operate the service lawfully and support schools’ and Sirrond’s work-experience processes. (Retention: submission records are generally kept for about 12 months, then purged automatically, unless a longer period is required by law or a school’s instructions.)Manage school and Sirrond staff access to the service. We use names/emails and account data to invite users, complete setup, reset passwords, and administer dashboard access. We share information with vendors and other third-party service providers who perform services for us or on our behalf and need access to such information to do that work (for example hosting, database and authentication, email delivery, security / bot protection, and OCR processing for paper forms). These providers process personal information only as instructed by us.Schools, Sirrond staff, and related form parties. Referral information is shared as needed to operate the Services: with the relevant school for review; with Sirrond staff for final approval; and with students, parents/guardians, and employers where required for confirmations, change requests, approvals, rejections, or PDF copies.Business Transfers. We may share or transfer your information in connection with, or during negotiations of, any merger, sale of company assets, financing, or acquisition of all or a portion of our business to another company.

9. Controls for Do-Not-Track features

Most web browsers and some mobile operating systems and mobile applications include a Do-Not-Track (“DNT”) feature or setting you can activate to signal your privacy preference not to have data about your online browsing activities monitored and collected. At this stage, no uniform technology standard for recognising and implementing DNT signals has been finalised. As such, we do not currently respond to DNT browser signals or any other mechanism that automatically communicates your choice not to be tracked online. If a standard for online tracking is adopted that we must follow in the future, we will inform you about that practice in a revised version of this Privacy Notice.
